In this Microsoft flow tutorial, let us discuss scheduled cloud flow with an example. I have explained how to run flows on a schedule in Power Automate. We will also discuss Power Automate recurrence.

You will see a number of times when we required to run a flow on a schedule like weekly, daily, or even monthly. Like if you want to achieve documents from a SharePoint document library. Or if you want to send a timesheet reminder email to all the members of your team on a scheduled basis, then we can run a flow on a schedule in Power Automate.

Scheduled cloud flow in Power Automate

Microsoft flow or Power Automate provides a scheduled cloud flow that will run on a schedule. We can easily create a scheduled cloud flow that can have one or more tasks.

For this particular example, we will just send an email in every 2 minutes. But there are other scheduled options are there.

Let us see first how to create a scheduled cloud flow in Power Automate.

Step-1:

Open https://flow.microsoft.com and login with your Office 365 credentials. If you have already signed in it will not ask you to enter the credentials.

Step-2:

Next from the home page, click on the + Create button to create a flow. Here from Start from blank, choose Scheduled cloud flow.

Here, you will see the below options:

Step-3:

Then it will show the Build a scheduled cloud flow dialog box. Here fill the below details:

Flow name: Provide a name for the flowRun this flow: This is the main option that you need to select the details. Choose the Starting date and time. Then Repeat every and then you can put the number followed by you can choose the scheduled options like:MonthWeekDayHourMinuteSecond

Let us say you want to run the flow every week then you can choose like:

Repeat every 1 and then choose Week.

Then click on the Create button.

Step-4:

Now, the flow got created successfully and you can see Recurrence is there, and here click on + New step to add a new step into it.

Step-5:

Here, we will add an mail action to send an email in every two minutes. Here choose Mail like below:

Then choose Send an email notification (V3), by using this action we can send an email using power automate.

This action has below fields:

To: Mention the Email ID of an employee to whom you want to send an email notification.Subject: Enter a subject line that will appear in the Email.Body: Enter the body part that describes the Email notification.CC: Provide the Email ID of an employee to whom you want to consider as CC.

Then click on the Save button to save the flow. Before saving the flow, you can also check for the errors.

Once you save the flow, you can run the workflow to test it. Apart from this also, you can My flows where you can see the flow. Here select the flow and then click on Run the flow to see if the flow is working fine or not. If there is no error, then the flow will trigger in the scheduled time.

Now check your email and here check out below, you can see email is coming in every 2 minutes.

Power Automate recurrence

If you want to modify the power automate recurrence, then click on the Recurrence in the flow like below:

Here you can see the below options:

Interval: Specify the interval where the flow will run based upon this time.Frequency: Select the frequency that helps to run the flow either in a Day, Month, etc.Time zone: Select a Time zone to specify whether the Start time reflects a local time zone.Start time: Specify the start time, when the first time the flow will trigger. The power automate recurrence start time defines when the flow will start. So based on your requirement you can choose the Microsoft flow recurrence start time.

Let us say, if you want to start the flow from Jan 2022, then you can set the power automate recurrence start time according to the below formula.

The ms flow schedule recurrence start time is usually in the below date and time format.

YYYY-MM-DDTHH:MM:SSZ

Here, you should also choose the Time zone based on your audience.
